When you pictured a life in music, you didn’t imagine your calendar filling with emails, invoices, socials, merch orders, uploads, and travel planning. Yet the admin side is part of the gig, and if you let it, it will crowd out writing, practice, and shows.

Admin and artistry are a yin–yang: separate, but complementary. The goal isn’t to love admin; it’s to contain it, with small systems that keep the business moving while your best hours go to making music.

In this module, you’ll learn a simple, four-step way to corral the back-office work, automate what you can, and design a week that consistently protects creative time - so your career grows without burning you out.

What we’ll nail

Map the mess → three buckets: Money (invoicing, taxes), Marketing (socials/EPK/newsletter), Logistics (gigs, travel, stock).
Batch & block: one weekly Admin Power Hour + a 15-minute daily “inbox sweep.”

When one person carries all the non-music work, burnout and “bus-factor” risk go way up (what happens if that one person leaves?). Bands should distribute tasks with backups; solo artists can delegate/outsource the same way - friends, peers, paid help, or tools.

The goal isn’t to do everything; it’s to ensure the right things get done by the right people, while you protect your highest-value creative time.

How to balance the load

List everything (social, bookings, merch, finances, web/EPK, transport/PA, content, fan mail, etc.).
Score each task for joy, career impact, and “am I the best person?” If the total < 15, delegate.
Assign an owner & a backup (avoid single points of failure).
Batch admin on one day; leave the rest for creation.
Document the basics (simple checklists/SOPs) so handoffs are painless.

If you can already sing or play, why keep learning? Because staying still risks stagnation. Growth - new techniques, instruments, or genres - makes you a more robust musician and a better songwriter.

Learning a second instrument reframes melody, rhythm, and harmony; exploring outside your genre widens your palette. As a vocalist, extending range (and breathwork) opens setlist options and stage confidence. Progress isn’t magic; it’s reps. Quiet notes become loud notes. Stretch without strain, and schedule the practice so it actually happens.

What to focus on

One skill per sprint (range, timing, right-hand technique, harmony parts, DAW chops).
Genre field trips (study arrangement/mix moves you can steal back home).
Deliberate practice over noodling (target the weak spots, short sessions, frequent).

How to make it stick

Put skill time in your calendar (same slot each day).
Keep reps small (10–20 minutes focused beats 2 hours “someday”).
Track the smallest proof you’re improving (tempo, clean takes, painless high notes).

Face the Fear → Find the Gear

Fear is only temporary. Regret lasts forever’

Fear is primal - and useful. The trap is waiting to “feel ready.” If you don’t try, the result is guaranteed. Professionals feel nerves too; the difference is they move with them.

Fear ≈ Excitement

Physiologically they’re siblings (racing heart, sweaty palms, shallow breath). Learn to label it as energy you can aim at the song, the set, the conversation.

Take back your power

Write fears down. What have they cost you? Why do they exist? For each, sketch options, the worst/best outcomes, and how likely either is. Most “worst cases” are unlikely - and mitigatable.

Ladder it

Not every fear needs a cliff-dive. Break the goal into rungs. Climb one, then the next. You can pause - but commit to returning.

Borrow courage

Ask a trusted person to sit in (or on stage with a tambourine), or to be your text-on-standby. A little social scaffolding goes a long way.

Your why is the steady thing. Plans can change; the destination doesn’t. Re-visit the moment music grabbed you. Ask the people who saw the spark in you to remind you what they noticed.

Two paths, choose on purpose

If I give up.
Pick the one you want to live in, then choose one action today that leans that way.

Build a simple vision board: images/words that embody your next year (craft, shows, community, health, business). Keep it where you see it daily and schedule a weekly glance.

Flip flight → fight (kindly)

Notice your triggers (fatigue, comparison, decision pile-ups). Pair each one with a reframe (your why), a tiny action (≤10 minutes), and a support ping (who you’ll message).

Staying competitive doesn’t mean competing with everyone. It means competing for your attention, your best hours, and your growth.

Comparing yourself to other artists usually feeds insecurity. It drags your gaze sideways instead of forward. Being aware of what you admire is useful - if you turn it into a concrete plan for your own development.

Why comparison stalls you

It anchors you to the past (“where I’m not yet”) instead of the next step.
It inflates limiting beliefs (“I’m not enough”), which kills momentum.
It swaps allies for adversaries - and you need allies.

A healthier frame: Admire → Aspire → Acquire

Admire: notice specific attributes (tone, writing habits, stagecraft, consistency).
Aspire: choose which ones fit your goals and brand.
Acquire: design the reps (lesson, mentor, 30-day sprint, collab) and a check-in date.

Runners don’t stare sideways

Winners glance at the field, then lock back on the finish line. Same here: keep your eyes on your vision, milestones, and weekly non-negotiables (practice, rehearsal, outreach). Quick checks, then forward.

Collaborate, don’t calcify

The artists you “compete” with today might be on your next bill, co-write, or split-single. Notice overlap and pitch a small collab that benefits both audiences.

List the people you tend to compare yourself to. Capture 3–5 attributes for each. Decide keep/avoid, tie it to your goals, and write an acquire plan with dates.

When we “wing it,” the day eats our best energy. A light routine fixes that: it pre-decides where your attention goes, so you can spend it on songs, sets, and shows.

Build a routine that serves your goals

Passion-driven time: songwriting, practicing, learning.
Needs-driven time: band rehearsal, gig outreach, travel, social, money.
Employer time: block it first so you’re honest about what’s left.
Day off (1–2 max): recovery keeps the music fun.

Use 2-hour blocks and aim for a 50:50 blend of passion vs needs. Expect a couple of weeks to settle in; then guard it.

Hold an Admin Day

Batch the boring: marketing, bookings, merch, invoicing. Four 90-minute focus blocks beat scattered fragments. You’ll leave more prime hours for the craft.

Flex without dropping the ball

Gigs and opportunities pop up—great. When you shift a block, swap it to another slot instead of erasing it. Log the swap so nothing slips.

Respect → Efficiency

Check your routine before you commit. Review weekly: what worked, what dragged, what to automate or delegate, and which block gets more (or less) cadence.

You get to decide where your time goes. You can either spend it moving forward, or you can spend it putting out fires. You decide. And if you don’t decide, others will decide for you’ - Tony Morgan

Trying to hold every task in your head is why you feel behind even when you’re working. Your brain is busy trying not to forget, not helping you finish.

The fix is simple: write it down, then organise it. A list is a relief valve and a plan at the same time.

Claim your list (10 minutes)

WHAT: brain-dump everything - no order, no judgement.
WHEN: add deadlines/timeframes so urgency is visible.
WHY: write the purpose and what depends on it (what’s blocked).
DURATION: rough time estimate (is this a 10-minute job or a 2-hour one?).

Keep the list accessible and add to it as you remember things. Don’t push the rock uphill - take another 10 minutes later if you fade.

Prioritise with Now / Soon / Later

Score urgency (1 = today/48h, 2 = 2–4 days, 3 = 5+ days or no due date). Move 1s to Now, 2s to Soon, 3s to Later. Then reorder by:

Duration (knock out quick wins to build momentum), and
Importance (some jobs matter more than their duration).

Too many items in one column? Reassess, renegotiate, or push back.

Work the list daily

Triage new tasks immediately into Now/Soon/Later.
Anything landing in Now goes to the end of that column unless it’s truly urgent.
End-of-day: cross off completed items, sanity-check order, and roll Soon → Now, Later → Soon. That’s when you feel the “I’m winning” shift.

List to Lift-Off: take 10 minutes today to do a brain dump, then build a Now/Soon/Later board and move three items forward.

How easy is it to get sucked into doing everything and starving your creativity? Super common - and unsustainable. Being creative and “ops-brained” at once is a hard context switch; even those who can do both need recovery time.

While you can learn every role, every hour you spend doing admin is an hour you don’t spend writing, practicing, or performing. That’s why pros build teams. Dave Grohl tracked the first Foo Fighters album solo - then recruited a band because live (and long-term) it’s not sustainable to be everyone at once. Watch Hired Gun and you’ll see how often top artists outsource to specialists.

The point isn’t “do less,” it’s do the right things - keep the art, share the rest.

Weed out the boring stuff (and value your time)

List everything you do each week: music, comms, bookings, socials, money, merch, travel. Note frequency, time per task, joy score, revenue impact, and whether it truly needs you. The patterns jump out fast.

Kill the superhuman myth

If a task spikes anxiety or stalls you for days, it’s a sign to get help (a person or an app). You don’t owe heroics; you owe your best creative work.

Build your support network

Map who you can ask: inner circle (band/partner/friends), peers (other bands), local pros (photographer, tech, accountant), venue folk, and automation tools. Keep short outreach scripts handy so asking is easy.

Decide: keep, automate, delegate, or drop

Use simple rules of thumb:

Low joy + low impact → Drop.
Low joy + high impact → Delegate.
High joy + low impact → Time-box or automate.
High joy + high impact → Keep (protect it).

Streamline with one-page SOPs

Document recurring tasks (social posts, invoicing, advancing a show) so someone else - or an app - can run them the same way every time.

Practice is where you expand skills and maintain them: technique, tone, time, ear, lyric memory. It’s solo (or with a coach), and it never stops - gigs don’t replace it.

Keep your chops current or you stagnate. Trends shift, gear evolves, tastes move - you need on-the-job training you give yourself.
Bored with the same chord set? That’s a sign to level up your practice cycle (new voicings, inversions, feels, right-hand patterns, harmony ear-training).
Make it measurable: tempos, reps, and tiny goals beat vague “play more guitar.”

Rehearsal = the band, the show, the glue

Rehearsal is a full-band activity that simulates the gig. You’re aligning dynamics, locking parts, settling endings, and shaping the set arc—not learning your part for the first time.

Everyone brings prepared parts; rehearsal is for integration.
Play the set as you’ll perform it: same keys, count-ins, segues, and banter beats.
Use the room to solve differences (your imagined riff ≠ their actual riff) and agree on the best version for the show.
Time is money: focused rehearsal beats expensive studio fixes later.

What rehearsal should cover (most weeks)

Transitions & endings (no onstage committee meetings).
Vocal blends/harmony placements (who’s on which note).
Dynamics & cues (drops, builds, holds).
Setlist flow (tempo/energy/key journey; opener → lift → pre-finale → finale).
Tech notes (patches, click/tracks, count-off language).

Common traps (and fixes)

Trap: Treating rehearsal like personal practice.
Fix: Share the set two days ahead; arrive knowing your parts.
Trap: No agenda, just jamming.
Fix: 60–90 minutes with a short agenda, a stopwatch, and ownership.
Trap: Endless takes.
Fix: Two reps, then diagnose; fix the smallest thing that fixes the most things.

Being “fun onstage” is only half the job. The other half is professionalism - how you prep, show up, adapt, and wrap up. That’s what makes a venue trust you with their room again.

Ahead of the gig (sell the night you want to play)

Know the lineup. If you’re sharing the bill, learn who’s on and say hi - networking is a professional courtesy and a pipeline.
Co-promote properly. Don’t bury a post on your feed; create an event (FB/IG), co-host with the venue and other acts, and send your mailing list a save-the-date + week-of reminder.
Shout out others. Tag the venue and bill-mates; it grows your reach and your rep.
Merch policy. Ask the venue if you can sell, whether there’s a seller/cut, and bring stock in sizes/colours that actually move. Count in before you hand it over; count out at the end.

At the gig (your reputation in motion)

Early > late. Confirm parking and load-in in advance. If delayed, call.
Look the part. Within your brand, be clean and ready - pack wet wipes and deodorant (load-in is a sweat sport).
Changeovers are everything. Get on and off fast. Don’t burn your set - or the next band’s - faffing with cables.
Respect the clock. Build a set that actually fits your slot length, including transitions and banter.
Be flexible. Schedules slip. Smile, adapt, nail your shortened/extended plan.
Soundcheck > heroics. If offered, take it. If not, ask for a line check and keep it crisp.
Be a good hang. Support other acts if you can; thank the techs; be visible for a quick “cheers for coming.”

After the gig (turn one show into five)

Thank humans, not just handles. Door, bar, sound, booker - say it to their face; follow with a short message.
Reconcile merch. Count out, match money, note top sellers.
Debrief. What landed? What slipped? What will you change next time? Capture actions with an owner and date.

Getting gigs is simple to say and harder to do. It’s more than just having enough songs. It’s about being the act that fits the room - and making that obvious to the people who book it.

Start here:

Have the material: time your set; know the venue’s expectations and meet them.
Do the legwork: build a small, real network: musicians, managers, bookers, promoters.
Stay organised: keep contacts and follow-ups in one place; check in regularly.
Say yes to reps: covers or low-pay “exposure” shows can sharpen your live game - sprinkle your originals to grow fans1.

That’s the mechanics. The edge is brand, how people perceive you before they hear the first note. Name, photos, one-line pitch, EPK, socials, and how you show up online tell bookers if you match their vibe, audience, and lineup. Their lens is practical: fit and revenue (or cause/awareness). Clear brand = faster “yes.”

Persona to People

Having a strong stage presence is half your live show. Many artists create a persona that’s louder, brighter, and braver than their everyday self - and it works onstage. Offstage, the same “larger-than-life” energy can read as arrogance and undo the goodwill you just earned.

Your audience - especially fans - will see you as special. That comes with responsibility. You don’t owe endless access, but you do owe basic respect. If you’re confident enough to take the stage, learn to be comfortable with the attention that follows you to the bar, the merch table, and the car park.

Remember: you were in the audience once. Treat people how you wanted to be treated. A little humility keeps you grounded; a little arrogance can turn into a reputational wildfire - especially online.

Personal story: meeting a hero who treats you like nothing can kill your love for their band in a heartbeat. People unfollow, skip gigs, stop buying merch - and tell their friends. If a key industry person is on the receiving end, the cost is even higher.

Solution: let the ego out of its cage for the show, then lock it back up for the chats. Confidence, not contempt.

Do confidence. Skip contempt.

Onstage: exaggerate presence. Hit your marks. Tell the story.
Offstage: two minutes of eye contact + thanks > ten minutes of bragging.
Boundaries: it’s okay to time-box photos/chats. Be clear, be kind: “Let me pack down - happy to grab a pic in five.”
Crew & venue: kindness travels. Techs, bar, door - your reputation runs through them.
Social: thank publicly, complain privately. Don’t subtweet venues or fans.
When challenged: de-escalate. Listen, thank them for the feedback, offer a path (“Catch me after the set?”).

Where persona ends and person begins

Design the through-line, the qualities that stay in both places (e.g., joy, humour, respect). Let the volume and swagger belong to the stage. Offstage, be the same human who writes the songs.

Remember…

Don’t act like you know it all, no one starts at the top.
Don’t pretend success is effortless, you worked for it, others are working too.
You’re not better than other musicians, fix your faults first.
You’re responsible for what you do and don’t do - mentoring others often grows you fastest.

Persona to People: define where your stage character stops and your offstage self begins. Set one simple post-show habit: two names learned, one thank-you said.

Most bands start as mates jamming for fun. That’s a great beginning.

But when you start thinking about gigs, recording, touring, and treating music like a real career, new pressures arrive: time, money, travel, and how well you actually work together.

If you’re moving from “let’s jam” to “let’s build something,” plan for it. Similar skill levels help. So does the ability (and desire) to commit more time and, sometimes, more cash. The hard part? Not everyone shares the same dream, or the same availability.

Before you lock in a lineup, get intentional. Talk honestly about:

Time - weekly practice, gig nights, travel, and recovery.
Money - rehearsal space, recording, mixing/mastering, merch, promo.
Work Style - who leads what, how decisions get made, how conflicts get resolved.
Goals - casual locals-only? regular paid gigs? recording? touring?

When you’re aligned, everything moves faster: learning sets, staying tight, and building trust on and off stage. When you’re not, you end up replacing members mid-flight, right when momentum matters most.

Making sure everyone’s on the same page early makes band life easier - and kinder - as you grow. Plenty of hobby bands never sign anything; if you’re treating this like a business, a light, written agreement is smart protection for everyone, not just the founders.

You don’t need a 40-page contract or a scary invoice from a lawyer to start. In the early days, a one- or two-page document covering money, gear, credits, and exits will stop small misunderstandings from turning into big fallouts.

Friends fall out. Commitments change. Gigs and expenses don’t cancel themselves. If you’re unsure whether you need an agreement, ask the worst-case question: what happens if we break up?

What to decide (and write down)

Money, credits, and ownership

Songwriting credits: one writer vs. shared? How do arrangements factor?
Royalties: masters vs. publishing - who gets what, and how is it tracked?
Gig income: fixed splits or percentages; what about tips?
Merch: who fronts stock; profit after costs; how is it divided?
Band name & logo: who owns the IP now, and after someone leaves?

Costs, gear, and repairs

Expenses: who fronts costs; how/when reimbursed; approval threshold ($).
Band-owned gear: list it. Who stores it, who maintains it, who pays for repairs?
Personal gear: always owned by the player unless you agree otherwise.
Investments ledger: keep a running note of who paid what in the early days and whether there’s a plan to repay (even if the plan is “no repayments”).

People, membership, and exits

Full-time members vs. casuals: define roles so freelancers don’t assume equity.
New member policy: do they share back-catalog income? probation period?
Leaving notice: minimum weeks required; expectations during that time.
If no notice: consequences/recovering unrecoverable costs (flights, accommodation).
Break-up plan: how debts are paid; how band-owned assets are sold/split; who can use the name.

How you work (so the day-to-day isn’t a mystery)

Decision-making: MD/veto/consensus; how to break ties; who’s the point of contact.
Professional standards: punctuality, prepared sets, sober for paid gigs, respect for fans/crew/venues.
Review cadence: pick a date to revisit the agreement (e.g., every 6 months or post-release).

Keep it simple (and human)

Start with plain language and signatures.
Save it in a shared folder.
Revisit it as you hit new phases (first tour, first release, new member).

Red flags you avoid by writing it down

“We thought you were paying for the PA hire.”
“I wrote the riff - why don’t I get publishing?”
“He left the week of the tour and kept half the deposit.”
“Who actually owns the name on the poster?”

Recruiting a bandmate isn’t “find a guitarist, done.” It’s about fit - musically, personally, and practically. Treat it like hiring for a small, fast-moving team: share who you are, what the role really involves, and how you work day to day. Then audition for sound and chemistry.

Build your band profile (share this before auditions)

Candidates decide as much as you do. Give them a real picture of the gig:

Genres & five key influences (where your sound actually sits).
Culture & values (3 words: e.g., “punctual / kind / ambitious”).
Vision (12–36 months): local residencies? festival run? release plan?
Practice cadence & location (weekly in Moorooka? fortnightly in CBD?).
Gig goals (rooms/markets you’re targeting).
Expenses (who fronts costs; how you settle).
Income split (gigs/merch/royalties) and minimums when relevant.
Decision-making (MD, veto, consensus—be honest).
Creative input (arrangements, co-writing, setlist calls).
Current lineup & roles (+ the non-musical jobs people already own).
Professional standards (on time, sober for paid gigs, kind to crew/fans).
Onstage persona & offstage tone (how you show up, consistently).

Define the role (must-haves vs nice-to-haves)

Write the brief you wish you’d been given:

Must-haves: e.g., rhythm guitar with solid time, can learn parts fast, basic BVs, owns workable rig + transport.
Nice-to-haves: keys/pads, Ableton for tracks, harmony arranging.
Commitment reality: rehearsals (day/time), typical gig cadence, short trips/touring appetite.
Money basics: fee range, splits, expenses (no mysteries).

Audition design (sound + chemistry)

Set people up to succeed:

Send 2–3 audition songs (your arrangements) + 1 open jam to feel how they listen, adapt, and lock.
Clarify gear/backline and who’s bringing what.
Share your profile and role spec in advance so the chat isn’t a pop quiz.

What to observe (and note):

Musicianship: time, tuning, tone, touch.
Preparedness: did they learn the parts and the feel?
Listening/lock: do they breathe with the drummer? Take cues?
BVs (if relevant): pitch, blend, confidence.
Stage comfort: presence, eye contact, awareness of the room.
Changeovers: quick, tidy, low-drama rig handling.

What to talk about (kind, curious, direct):

Influences & playing style (watch where they light up).
Availability (rehearsals, weekends, short tours).
Commitment (not a vibe—be concrete).
Money (state your policy; read the reaction).
Transport & gear (no shame, just clarity).
Standards (how you treat venues, crew, fans; punctuality; sober for paid gigs).

Interview mindset: you’re both testing fit. Keep the conversation light and honest. If it’s awkward but promising, offer a second jam.

Decide like a team (fast, kind, final)

After the session:

Quick debrief with your band: sound, chemistry, red flags.
If needed, references (friendly, relevant).
Make the call: Yes / Trial Show / Not this time.
Communicate promptly and kindly either way.
If yes: set next steps (rehearsal plan, learning list, first show date).
If trial: define what success looks like and a review date.

Onboard for success (first 2–4 weeks)

New people thrive with structure:

Share a priority setlist (highlight harmonies, tricky transitions).
Provide charts/notes/demos (whatever you actually use).
Schedule two focused rehearsals (transitions + endings + harmonies).
Assign a buddy for quick questions (saves group-chat chaos).
Book a low-stakes first hit (open mic/short support) to cement the win.

Red flags (call them early)

Amazing chops but consistently late/unprepared.
Money fog - won’t discuss splits/expenses.
Gear chaos and long changeovers.
Crew/fan disrespect (on or offline).
A “yes” to everything with zero scheduling reality.

Green flags (hire them)

Shows up prepared, learns fast, listens even faster.
Owns their lane, wants feedback, keeps ego in check.
Professional by default: on time, tidy, kind, unflappable.
You like being in a room with them - energy lifts, tension drops.
